Reservations must distinguish a vehicle due back from one inspected, cleared and ready for the next customer.
People and information
The fleet supervisor owns release to availability. Reservations, return timestamps, inspection findings, mileage, service schedules and existing vehicle status supply the evidence. Each record uses the agreed vehicle identifier.
How the workflow could work
Match the return to the vehicle and next reservation. Check inspection completion and maintenance holds, then prepare a readiness decision for the supervisor. Only the approved release updates the availability used by reservations; record its time and supporting evidence.
Ownership and exceptions
Damage, conflicting mileage or overdue service keeps the vehicle in review. A delayed return prompts reservations to review the customer commitment. If a status update fails, preserve the last confirmed readiness state and reconcile it before another release is attempted.
A useful first evaluation
Follow returned vehicles at one branch through one operating cycle, including a service hold and a late return. Compare the proposed readiness decisions with supervisor sign-offs. Produce a release checklist and a queue that makes ownership clear between returns, maintenance and reservations.
Define the baseline
Measure recorded-return-to-approved-readiness time, with inspection and maintenance waiting separated. Count readiness-related booking changes per booking and unresolved holds at each shift handover. Compare like vehicle categories and workloads; these criteria do not imply a safety certification or guaranteed utilization gain.
