The operational challenge

Reception needs to know which appointment requests are ready for administrative processing and which require a person to resolve missing or conflicting information.

People and information

The reception supervisor agrees the intake checklist with the clinic system owner. Use appointment references, required administrative fields, approval status and access permissions; keep the authorized patient record as the identity reference.

How the workflow could work

Check a submitted request against the required fields and match it to the authorized record. Prepare a review queue for incomplete or ambiguous cases. Staff confirm corrections, coordinate appointment status and authorize the response. Retain the source and reviewer for each administrative update.

Ownership and exceptions

An uncertain identity match stays unresolved rather than merging patient records. A duplicate request links back to the existing case for staff review. Requests containing clinical concerns follow the clinic’s staff escalation process; the workflow does not assess symptoms, prioritize treatment or make care decisions.

A useful first evaluation

Review one appointment type using approved, appropriately protected sample records. Include a duplicate request, missing approval and identity discrepancy. Reception should be able to trace each proposed change to its source and complete the task through the existing process if the interface is unavailable.

Define the baseline

Establish the share of requests complete at the agreed intake cutoff, active staff minutes per completed intake and cases returned for correction. Measure queue waiting separately from handling time. Compare the same appointment type and include staff verification effort; these are criteria for evaluation, not promised patient or clinical outcomes.
